Privacy
Tokyo Jazz Club respects your privacy. This section explains what personal information we collect, why we collect it, and what rights you have over it.
Bridging Operations Inc. is the data controller responsible for the information described here.
What we collect
When you sign up for our newsletter
Your email address, the date and time you subscribed, and your confirmation of that subscription. We use a confirmed (double) opt-in process: after you submit your address, we email you to confirm the subscription is genuinely yours.
When you contact us
Your name, email address, and whatever you choose to include in your message.
When you visit our website
Our website host records basic technical information automatically as part of operating and securing the site, including your IP address, browser type, and the pages you view.
When you sign up for our newsletter, your email address is sent directly to our newsletter provider and is not stored on or processed by our website host.
We do not use advertising or tracking cookies. We do not collect sensitive personal information, and we do not knowingly collect information from children. We do not sell tickets through this website and do not collect payment information.
Why we collect it
Our purpose of use is:
- to provide information about Tokyo Jazz Club and its program — including program announcements, participating artists and galleries, and ticket information;
- to respond to enquiries;
- to operate and secure our website.
We will not use your information for any purpose materially different from those stated above without telling you first.
Who we share it with
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We use service providers who process information on our behalf, under contract and only on our instructions:
- Brevo (Sendinblue SAS, France) — mailing list management and newsletter delivery
- Cargo (United States) — website hosting
We may also disclose information where required by law.
Where your information goes
Our website is hosted in the United States by Cargo. Basic technical information, such as your IP address, is therefore processed in the United States when you visit the site.
Our newsletter provider, Brevo, is based in France and stores subscriber data in the European Union. When you subscribe, your email address is sent directly to Brevo and stored in the European Union, and is accessed by us in the United States. Brevo processes it on our behalf under its published data processing terms.
If you are in Japan: please note that the United States is not among the countries recognized by Japan’s Personal Information Protection Commission as providing a standard of protection equivalent to Japan’s. By subscribing, you consent to your email address being accessed in the United States as described above.
If you would prefer not to have your information accessed outside your country, please do not subscribe — you are welcome to follow announcements through our social channels instead.
How long we keep it
- Newsletter subscribers: until you unsubscribe, or after 24 months of no engagement, whichever comes first
- Enquiries: 24 months after your enquiry is resolved
Your rights
You can ask us to:
- See what personal information we hold about you
- Correct it if it is wrong
- Delete it
- Stop using it, or restrict how we use it
- Withdraw consent at any time — this will not affect anything we did before you withdrew it
To exercise any of these, email privacy@tokyojazzclub.jp. We will respond within one month.
If you are in Japan and believe we have handled your information improperly, you may contact the Personal Information Protection Commission.
Unsubscribing
Every email we send includes an unsubscribe link. You can also email privacy@tokyojazzclub.jp and we will remove you.
For visitors in the European Economic Area and the United Kingdom
The following additional information applies if you are in the EEA or the UK. The GDPR applies to us under Article 3(2): although we are established outside the EEA, we communicate with individuals there.
Legal basis for processing
| Data | Purpose | Legal basis |
|---|---|---|
| Email address, signup date and time, opt-in confirmation | To send you news about Tokyo Jazz Club | Consent (Art. 6(1)(a)) |
| Name, email address, message content | To respond to your enquiry | Legitimate interests (Art. 6(1)(f)) — our interest in answering people who contact us |
| IP address, browser type, pages viewed | To operate and secure our website | Legitimate interests (Art. 6(1)(f)) |
We do not carry out automated decision-making or profiling, and we do not process special category data.
Consent and withdrawal
We use confirmed (double) opt-in for our newsletter. We keep a record of when consent was given and the wording shown to you at the time.
You may withdraw consent at any time, using the unsubscribe link in any email or by contacting us. Withdrawal does not affect the lawfulness of processing carried out beforehand.
International transfers
Your email address is stored within the European Union by Brevo and is accessed by us in the United States. Brevo’s data processing terms incorporate the European Commission’s standard contractual clauses.
You may contact us at privacy@tokyojazzclub.jp for further information about how your data is handled.
Your rights under the GDPR
In addition to the rights listed above, you have the right to data portability — to receive the data you provided to us in a structured, commonly used, machine-readable format — and the right to object to processing carried out on the basis of legitimate interests.
Complaints
If you believe we have handled your personal data improperly, you may lodge a complaint with your national supervisory authority. In the UK this is the Information Commissioner’s Office. A list of EEA authorities is published by the European Data Protection Board. You are also welcome to contact us first at privacy@tokyojazzclub.jp.
